Investor conferences at Kotak Institutional Equities bring together key financial players—fund reps, corporate leaders, and institutional investors.
But coordinating meetings at this scale was a mess—scheduling conflicts, fragmented communication, and inefficient networking meant lost opportunities.

So we built a solution: A sleek, streamlined conference management tool that eliminated chaos and redefined how high-value finance events are managed.

Conference events in high-stakes financial environments are complex, dynamic, and high-pressure. But here’s the catch: While attendees needed to be at the right place at the right time, all while managing meetings and juggling multiple schedules, there was no room for error.

We designed an experience that made everything almost invisible—streamlined interactions, smooth coordination, and minimal friction.

This meant:

Building on Kotak’s existing branding to maintain consistency and trust while giving the app a sleek, modern feel.

step 1: story mapping the chaos

Organizing a high-stakes financial conference is chaotic. We started by mapping the entire process—identifying bottlenecks, pain points, inefficiencies and then figuring out what would make the app not just functional but, well, effortless.

step 2: from data to wireframes

With complex, real-time data flowing in from different sources, we knew that simplicity had to be the core principle. We then built wireframes and prototypes on Figma, testing assumptions, and iterating based on continuous feedback

What made this project interesting wasn’t just designing for the sake of UI. It was about creating a product that was fully integrated into the Kotak ecosystem while also feeling like it belonged to the user’s routine.

User must choose the event they want to manage as soon as they open the app. This page is also used to register and track all the events happening in Kotak.

Challenges of working with a bigger organisation

Scalability for Large-Scale Conferences

With 800+ institutional investors and hundreds of sessions, the system had to scale seamlessly. Managing large datasets of conference schedules, meetings, and user preferences was no small task.

Designing for Diverse User Roles

With a mix of fund reps, corporate leaders, and organizers, designing an experience that catered to different needs, while maintaining consistency, was an ongoing challenge.

Adapting to Constant Data Changes

Conferences are dynamic environments, and data can change rapidly. The app had to be adaptable to handle last-minute changes, updates to schedules, and real-time messaging for all users involved.

Big challenges lead to big growth. The Kotak app pushed me to refine my skills in both UX and strategy, and reminded me that, no matter how big the business scale, the user experience is always about one thing: delivering simplicity amidst complexity.
